Are you a bookkeeping or accounting firm?

No. Office Navigators is a back-office systems company. We set up, correct, train, systemize, and support the workflows inside your QuickBooks Online file — but we are not a bookkeeping firm, an accounting firm, a CPA practice, or a virtual assistant company. If you need ongoing monthly bookkeeping or a controller, we'll tell you that on the first call and point you in the right direction.

Question 2

Can you prepare my taxes?

Accepted Answer

No. We do not prepare tax returns, represent you before the IRS, or offer tax advice. What we do make sure of is that your QuickBooks Online records are organized and current, so your CPA or tax preparer isn't reconstructing a year of transactions at filing time. Many of our clients find their tax preparation gets faster and less expensive because their file is clean.

Do you process payroll?

No. We don't run payroll, calculate paychecks, or file payroll taxes. If you use QuickBooks Payroll, we can help you understand how the payroll side of your file connects to the rest of your records — but the payroll decisions and filings remain yours and your payroll provider's.

Question 4

What about legal, financial, or HR advice?

Accepted Answer

We don't provide any of those. Our role is to build and maintain the systems in your QuickBooks Online file so you and your licensed professionals — your CPA, attorney, or advisor — can do their jobs well. We stay clearly inside that line on every engagement.

Question 5

Do I have to be using QuickBooks Online?

Accepted Answer

Currently, yes. Our services are built specifically for QuickBooks Online, and the fastest way to start is to invite us into your accounting software and we'll take it from there. If you're on desktop QuickBooks, a different platform, or spreadsheets, call us — we can tell you honestly whether a migration or a different provider makes more sense.

How do we get started?

It starts with a phone call — 980-222-1366. We'll ask a few questions about how your business runs, what's working, and what's causing friction. From that conversation we'll recommend a starting point: one of our five service paths, or sometimes a referral somewhere else if we're not the right fit. There's no obligation and no high-pressure pitch.

Do you work remotely or on-site?

Both. Most work happens remotely in your QuickBooks Online file and over scheduled calls. For clients in our local area, on-site appointments can be arranged when hands-on work — like organizing records or sitting down for training — is more practical in person.

Question 8

How long does a project take?

Accepted Answer

It depends on the state of your file and the scope we agree on. A focused setup or training session can be measured in days. A full cleanup of a file that's been drifting for years takes longer. We scope each engagement before work begins, so you know what we're doing and roughly how long it should take — and we keep you updated as we go.

What does it cost?

Accepted Answer

Every engagement is scoped to your file and your goals, so we don't publish flat rates. After a short phone call we'll give you a clear scope and cost before any work starts — no surprises, no hourly meters running quietly in the background. Ongoing workflow support is priced by document volume, so you only pay for the activity we actually handle.

Question 10

Will you have access to my bank account?

Accepted Answer

No — and this is a firm boundary. We never connect to, access, or move money in your bank account. You remain the only person who approves and submits payments. For ongoing invoice and bill support, we prepare the workflow and stage drafts; you review, approve, and take the final action.

Question 11

Who approves invoices, bills, and payments?

Accepted Answer

You do — every time. In our managed workflow support, we draft invoices, enter approved vendor bills, and prepare payment runs, but nothing goes out and nothing gets paid without your approval. You keep full control of your money and your client communications.

Question 12

How do you get into my QuickBooks file, and is that safe?

Accepted Answer

You invite Office Navigators as an approved user through QuickBooks Online's own permissions system — we never ask for your password. QuickBooks lets you control what level of access we have, and your login credentials never leave your hands. Access can be revoked by you at any time.

Question 13

What happens to my information?

Accepted Answer

Your financial information is used only to perform the work we've scoped together. We don't sell, share, or reuse your business data, and we follow the confidentiality expectations of the QuickBooks ProAdvisor Agreement. When an engagement ends, your file stays yours — intact and in your control.

Question 14

My QuickBooks file is a mess. Is that a problem?

Accepted Answer

That's usually the reason people call us — not an obstacle. Fix It exists exactly for files that have drifted, been set up incorrectly, or gone untouched for months. We assess the file, tell you what we found in plain language, and correct what can be corrected. If something genuinely can't be untangled (like a closed tax year), we'll explain your options honestly.

Question 15

I already have an accountant or CPA. Does this replace them?

Accepted Answer

No — it makes their work easier. We don't replace your CPA or accountant; we handle the day-to-day systems that sit underneath their work. A current, organized QuickBooks file means fewer billable hours spent fixing records and faster turnaround at tax time. Many accountants are glad their clients have us.

Question 16

I'm not a numbers person and QuickBooks overwhelms me. Is this for me?

Yes — especially for you. Our Teach It path is one-on-one training at your pace, focused on the specific tasks you need to run your business. We explain things in plain language, not accounting jargon, and we'd rather you ask the same question twice than guess and create a mess.

What if I don't know which service I need?

Accepted Answer

That's normal, and it's what the first call is for. Describe how your back office runs today — where invoices, bills, and records stand — and we'll point you to the right starting path. Sometimes the right answer is one focused project; sometimes it's a sequence. Either way, you'll leave the call knowing the next step.

What if it turns out I'm not a good fit?

We'll tell you. Our services are designed for solopreneurs and owner-led businesses using QuickBooks Online. If you need a full bookkeeping department, payroll processing, tax representation, or you're on a different platform, we'll say so directly and, where we can, refer you to someone who does that work. A recommendation that costs us a sale but saves you money is a good outcome.
